Administrative Assistant Oportunity

Allied Consultants, Inc. is an Austin-based firm which has for 17 years been a premier provider of technical and business professionals to clients in Texas. We are currently seeking an Administrative Assistant to be a key resource on a Legal Department team.

Summary of Responsibilities:

Processes requests for review/drafting of contracts and related documentation; maintains contracts database and legal contract files; and oversees consultant on-boarding and exiting compliance; provides administrative support for Assistant General Counsel, Corporate Counsel, and other Legal Department personnel, as requested.

Essential Job Duties:

Oversees the consultant background check and other on-boarding and exiting processes;
Maintains legal files for contracts area, including consultant on-boarding;
Enters information about vendors, vendor contracts, and related documents into the vendor contracts database;
Provides administrative support for the entire legal department;
Performs work, support and maintain calendars for assigned attorneys;
Edits documents for completeness, accuracy, grammar, and spelling; prepare for final filing, mailing, or other transmittal, as appropriate;
Coordinates meetings and teleconferences – including reserving and preparing conference rooms;
Maintains accurate and organized filing of documents, records and correspondence.;
Performs photo copying and typing; answers phones and take accurate messages;
Maintains high standards of confidentiality regarding confidential and privileged information, and manage the integrity and security of confidential and privileged documents in physical, electronic and other media;
Assists with preparation of Board of Directors and Board Committee materials and minutes;
Performs other duties as assigned.

Education:
High school degree is required.

Minimum Experience:
Minimum of 2 years (in excess of degree requirements stated above) of progressively responsible experience administrative assistance work.
